TeleTax is a product of Vyox AI Ltd, a company registered in England and Wales (Company No. 17246579), with a registered address at 58 Clarence Road, Longsight, Manchester, M13 0YE, United Kingdom.

2. Data we collect
We collect the following types of personal data:
- Identity data: First name, last name, business name, trade type
- Contact data: Email address, WhatsApp phone number
- Financial data: Receipt images, expense amounts, VAT figures, income records, CIS deductions
- Tax data: UTR number, VAT registration number, National Insurance number (optional)
- Usage data: WhatsApp interaction logs, dashboard activity
- Technical data: Device type, browser type, IP address
3. How we use your data
We use your personal data to:
- Provide the TeleTax bookkeeping and tax compliance service
- Process and categorise your financial records
- Send HMRC deadline reminders and compliance alerts
- Enable your accountant to manage your tax records (if you link an accountant)
- Prepare MTD submissions and tax return summaries
- Improve our AI categorisation accuracy
4. Legal basis for processing
We process your data under the following legal bases:
- Contract performance: To deliver the TeleTax service you have signed up for
- Legitimate interests: To improve our service and ensure accuracy of financial records
- Legal obligation: To comply with UK tax and data protection law
- Consent: For optional features such as referral programmes
5. Data sharing
We do not sell your personal data. We share data only with:
- Your linked accountant: If you provide an accountant invite code, your financial records are accessible to that accountant firm via the TeleTax CRM
- HMRC: When you authorise us to submit MTD returns on your behalf
- Technology providers: Cloud infrastructure (Supabase, Cloudflare), AI processing, and communications (Meta WhatsApp Business API) — all under data processing agreements
6. WhatsApp and Meta
TeleTax uses the WhatsApp Business API, operated by Meta Platforms Ireland Limited. When you message TeleTax on WhatsApp, your messages are processed in accordance with Meta's privacy policy as well as this policy. We only use WhatsApp to deliver the TeleTax service — we do not use your WhatsApp data for advertising purposes.
7. Data retention
We retain your financial records for as long as your TeleTax account is active, and for a minimum of 7 years after account closure to comply with HMRC record-keeping requirements. You may request export of all your data at any time.
8. Your rights
Under UK GDPR, you have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data (subject to legal retention obligations)
- Export your data in a portable format
- Object to processing
- Withdraw consent at any time

9. Security
We implement appropriate technical and organisational measures to protect your personal data, including encryption at rest and in transit, role-based access controls, and multi-factor authentication for all staff access.

We may update this policy from time to time. We will notify you of significant changes via WhatsApp or email. Continued use of TeleTax after changes constitutes acceptance of the updated policy.
